Local Mail Archive

You will want to begin saving your mail locally so that you do not reach your quota on the server. To do this, you'll need to create a local folder in outlook.

In Outlook, go to File > Info, click the Account Settings box and click “Account Settings…” in the dropdown

Click the tab “Data Files” and then click Add..

You can create the file in the Documents > Outlook Files folder and name it something like “local mail” and then click ok

 

Click close on the account settings window and expand the new “local mail” box on the bottom left. Right click “local mail” and select “New Folder…”

Name the folder whatever you please such as “saved mail”. You can now start dragging email from your inbox or other folders in the new “saved mail” folder. These files will be removed from the server and stored locally on your machine.

 

Notice: This local mail file is saved as a .pst file. These files can become unstable when they get larger than 1GB. Please take note of the size of your file by navigating to Documents > Outlook Files and right clicking on the “local mail.pst” file (or whatever else you named it) and going to properties. The size of the file is listed on the General tab. If your .pst file begins to get too large, just make a second local data file in outlook following these instructions and drag mail to the new file instead.
